How to Manage Sales Counselors on Contracts

We’ve upgraded the Contracts module to give you greater flexibility in managing your sales team. Previously, only one sales counselor (the contract creator) could be assigned to a contract. Now, you can assign multiple sales counselors to a single contract, improving collaboration, visibility, and reporting.

What’s New?

  • Multiple Sales Counselors per Contract
You can now assign multiple users as sales counselors on a contract.

  • Dynamic Counselor Assignment
Users will automatically be added as a sales counselor if they:

    • Create the contract

    • Change the status of the contract

  • Permission-Based Access

    • Any sales counselor with the Contract: Write-Mine permission can edit the contract.

    • Users removed as counselors lose access to edit unless they have the Contract: Write-All permission.

    • See this article on Understanding and Managing User Roles to understand permissions and how they are assigned.
  • Reporting & Search Behavior

    • Removing a sales counselor will:

      • Exclude them from contract-related reports

      • Prevent the contract from appearing when searching by that Sales Counselor in the Contract's search.

Managing the Sales Counselors in a Contract

Step 1

Search for an existing contract, or, create a new contract.

Step 2

The Sales Counselors section is located at the very bottom of a contract, beneath the Documents section.

Step 3

Add a Sales Counselor
  1. Click Add Counselor.

  2. Search for a user by name or email.

  3. Select the user you’d like to add.

Note

The creator of the contract is automatically listed as a Sales counselor. Any user who edits the status of the Contract will Automatically be added as a Sales Counselor.

Step 4

Removing a Sales Counselor
  1. In the Sales Counselors card, find the user(s) you want to remove.

  2. Check the box next to their name.

  3. Click Delete.

Note

Removing a counselor revokes their ability to edit the contract (unless they have the Contract: Write-All permission), and removes them from contract reports and searches.
